HR & Office Manager (Full-time)

We are looking for a multi-talented, highly motivated jack-of-all-trades that keeps our office running smoothly and enjoys putting a smile on peoples faces. Are you just as excited about organizing the best team events, as making sure we are on top of our HR administration? We need you!

What you'll do

HR
  • Overall, you’ll make sure we use the full potential of our team and that they are proud and happy working for O My Bag. Say yes to ‘Team Happiness’!
  • You’ll keep in check if all tasks have a clear responsible person and see when we need to grow the team.
  • You’ll be responsible for improving our current HR processes. You’ll look into ways,  systems or HR companies that can help improve our efficiency and implement your findings.
  • You’ll hire our new super stars:
  • Post job openings on various platforms.
  • Review applications and make a selection.
  • Conduct the first phone calls with applicants.
  • Make sure the application assignments are up-to-date and forwarded to the selected applicants in a timely manner.
  • Organize, attend and debrief the final interviews, together with the respective manager.
  • You’ll make sure new team members have an unforgettable start at our company, by welcoming them to the team and guiding them through their onboarding process.
  • You’ll conduct probation and exit interviews.
  • You are responsible for all HR administration: such as work contracts, addendums, loan agreements, sickness absence, holidays and the team organogram.
  • You’ll be our OfficeVibe guru and the spokesperson of both the team and MT!
  • Make sure OfficeVibe is used by the whole team in the best way possible; efficient 1 on 1's, clear personal growth paths and collaborative team goals.
  • Reply to team feedback, pitch possible solutions to MT and make them happen.
  • Tackle ignorance by informing the team all that's not clear for them via HR newsletters.
  • Send out surveys and analyse the results when it's necessary to gather team feedback on a specific topic.
  • You’ll be responsible for our Employee Handbook. This handbook provides clarity to the team regarding all our internal processes. 
  • You’ll be responsible for sharing general information with the team, such as changes in the Employee Handbook, Organogram, office rules, important dates, etc.
  • You’re responsible for all HR and office related B-Corp points.

 

OFFICE
As you might have seen, we also have a part-time position open for office management. You will be accountable for everything office related, but this colleague will be operating as your right hand on the practical side of things. Together, you'll keep our office an organized, creative and #iwannaworkhere office space.

  • You'll manage our part-time Office & CS supporter. 
  • You’ll gather team feedback about the office experience and will make improvements happen. 
  • You’ll be accountable for making sure our team can enjoy a wonderful (as plastic free as possible) lunch, by creating a lunch schedule and being in touch with our food suppliers.
  • You'll be accountable for general office administration & organization: filing invoices, ordering office supplies, managing office subscriptions, keeping track of the office agenda, planning team meetings etc. 
  • You'll organize team events like our Friday drinks, birthdays, jubilees, the famous Christmas karaoke party and summer event.
  • You’ll be accountable for making sure our office phone is answered in an OMB-loving way.
  • Facility management: You’re the contact person of our house lord and various handymen. 
  • You’ll be responsible for our online office in ‘Notion’. It is your goal to keep Notion organized at all times.

  • You’re a real ‘mama or papa bear’. Taking care of others excites you, in small (making sure we’re never out of fresh coffee) and bigger (by making sure to find the perfect hires for our team) ways.
  • You are proactive and hands-on. You have a can-do mentality and always look for opportunities.
  • You are not afraid to speak up; you stand your ground and can explain clearly. 
  • Your strong organization and time management skills come in handy when working to deadlines. A busy day full of ad-hoc to do’s excites you.
  • You can nail the O My Bag tone of voice, when providing updates to the team and when communicating with external parties. 
  • You pay attention to the details. As far as you’re concerned, anything worth doing is worth doing right, every single time. You stay focused, and nothing falls through the cracks on your watch.
  • You enjoy solving problems. You love taking on difficult challenges and finding creative solutions. If you don’t know the answer, you’ll dig until you find it.
  • You're interested in improving the world of fair trade fashion.

Requirements

  • A University or HBO degree in Human resource management, social studies, business administration or equivalent.
  • Preferably at least 1 year of working experience in a similar role.
  • Excellent knowledge of both English and Dutch language, both spoken and written.
  • Good with systems, such as Microsoft Office package, Google, Dropbox, Notion etc.
